Your Specific Responsibilities:

This position is responsible for the supervision of the Call and Documentation Team Regulatory Supervisors and assisting them with supervision of the Call and Documentation Team members. This position spends more than 50% of the time engaged in supervisory responsibilities. This includes communicating with, motivating, training, and evaluating employees in addition to planning and directing employees’ work. The incumbent has the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action. The incumbent will also be required to develop performance expectations, meet with staff regularly to discuss performance, complete performance reviews, maintain vacation and work schedules, ensuring proper coverage, and complete timesheets.

 

This individual will be responsible for all supervisory duties including, but not limited to, hiring and selection, developing performance plans, conducting performance appraisals, planning, and directing their work, approving leave, and taking disciplinary action as appropriate.

 

Assist the Office of Medical Marijuana Use (OMMU) Communication Manager with developing and maintaining Call and Documentation Team processes to meet the changing needs of Florida’s Medical Marijuana Use program.

 

Assist the Call and Documentation Team Regulatory Supervisors in managing OMMU’s Call/Documentation Center staff operations to ensure the delivery of customer assistance to internal and external stakeholders. Assist the OMMU Communication Manager in developing guides and process to address any deficiencies or changes to Medical Marijuana Use Registry ID Card and Caregiver processes.

 

Assist Call and Documentation Team Regulatory Supervisors with coordination of the delivery of customer assistance to internal and external stakeholders by either ensuring program staff are providing responses to program related inquires using an approved call script, routing calls to appropriate vendor, division, office, and/or agency, or obtaining necessary information to address electronic and written communications. Assist the OMMU Communication Manager with developing and maintaining messaging scripts in coordination with program staff.

 

Ensure information available through the Registry, the OMMU website, training, and vendor call centers is accurate and consistent. Assist the OMMU Communication Manager in addressing any deficiencies by providing updates to the electronic and written communications responses to constituents.

 

Required Knowledge, Skills, and Abilities:

Experience/knowledge managing supervisors. Knowledge of pulling and compiling reports; Recruiting and personnel hiring skills; Proficient computer skills to include Word, Excel, PowerPoint and Outlook; Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar; Understanding written sentences and paragraphs in work related documents; Communicating effectively with others in writing; Good listening skills and communication skills; Knowledge of laws, legal codes, court procedures and government rules & regulations; Skills in finding information and identifying essential information; Good organizational skills; Skilled in motivating, developing, mentoring and directing people as they work.

Qualifications:

Minimum – Two years of experience managing supervisors. Three years of experience pulling reports. Four years of experience recruiting/hiring personnel. Proficient computer skills to include Word, Excel, PowerPoint and Outlook; knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; understanding written sentences and paragraphs in work related documents; communicating effectively with others in writing; listening to what other people are saying and asking questions as appropriate; knowledge of laws, legal codes, court procedures and government rules & regulations; knowing how to find information and identifying essential information; organizational skills; motivating, developing, and directing people as they work, identifying the best people for the job.

Licensure/registration/certification requirements: Possession of a valid Driver’s License

Other job-related requirements for this position: Works well under pressure.  Must be a team player as workplace is a collaborative environment. Ability to multitask is important as there will be multiple simultaneous projects.

Preferred – As above with three or more years of experience managing supervisors, four or more years of experience pulling reports and five or more years of experience recruiting/hiring personnel.
