Summary:
This role is within the Enterprise Data Governance Team and involves developing a Standard/Policy Program which entails creating, revising, and maintaining policies, standards and procedures to ensure they are compliant, clear, and effective. This position requires close collaboration with different departments to address their specific needs and ensure regulatory compliance. This role will have oversight on the documents noted as well as related training and communications.
As a Documentation Manager, you will have the opportunity to collaborate with cross-functional teams, contribute to process improvements, and support organizational goals by ensuring that documentation practices meet quality standards and regulatory requirements.
This role requires strong technical writing skills, the ability to assess regulatory and operational changes and the capability to translate complex processes into clear, user friendly documentation.
Responsibilities
- Develop, update and maintain Policies, Standards and procedures as well as training materials. Conduct thorough reviews of EDG policies, procedures, and standards to ensure they are up-to-date, relevant, and consistent as well as meet Enterprise wide requirements.
- Identify discrepancies, inconsistencies, and gaps in existing documentation and provide actionable recommendations for improvement.
- Collaborate with various departments to gather input and feedback on policy and standard revisions.
- Challenge existing policies and standards to promote continuous improvement and alignment with industry best practices.
- Develop and maintain a tracking system for policy review cycles, ensuring timely updates and revisions. Responsible for maintaining a calendar to track the regular review cycle for Governing Documents. Also responsible for documenting ad-hoc reviews and updates occurring off-cycle.
- Document the content and status of all periodic reviews of Governing Documents including the necessary approvals/rejections and archive all voting outcomes.
- Prepare detailed reports summarizing findings, recommendations, and proposed changes to policies and standards.
-Adhere to relevant Committee requirements for approvals and represent/support any questions or concerns around updates
-Work to consolidate existing Standards and Policies where agreed
- Assist in the development of new policies and standards as required, ensuring they meet organizational goals and compliance requirements.
- Stay informed about industry trends, and best practices related to policy management and governance.
- Facilitate training sessions or workshops to educate staff on updated policies and standards
- Work with internal business Partners to establish procedures based off the Standards
-Along with the Program, this role will manage Partners, be a thought leader and SME related to best practices, keeping current with regulatory changes that may affect the documents as well as tracking and providing evidence for auditors and/or regulators.
Major Duties:
Document Control and Versioning:
· Establish and maintain document control processes, including version control, document tracking, distribution, and archival, to ensure that documents are current, accessible, and properly managed throughout their lifecycle.
Regulatory Compliance:
· Ensure that documentation practices comply with regulatory requirements, industry standards, and best practices, such as ISO standards, FDA regulations, GDPR, and other relevant regulations, by staying informed about regulatory changes and updates.
Quality Assurance:
· Conduct quality reviews and audits of documents to identify errors, inconsistencies, and non-compliance issues, and recommend corrective actions and improvements to enhance document quality and integrity.
Collaboration and Communication:
· Collaborate with cross-functional teams, including subject matter experts (SMEs), project managers, quality assurance professionals, and regulatory affairs specialists, to gather information, review documents, and facilitate document approvals and revisions.
Training and Documentation Support:
· Provide training and support to employees on documentation processes, systems, and tools, ensuring that staff members understand document requirements, procedures, and best practices for creating and managing documentation.
Continuous Improvement:
· Identify opportunities for process improvements, automation, and efficiency gains in documentation processes, systems, and workflows, and implement solutions to enhance productivity, accuracy, and compliance.
Skill Requirements
· Organizational Skills: Must possess strong organizational skills to manage multiple documents, versions, and revisions effectively, ensuring that documentation processes are streamlined and efficient.
· Attention to Detail: Should have strong attention to detail to review, edit, and format documents accurately, identifying errors, inconsistencies, and non-compliance issues, and ensuring document quality and integrity.
· Regulatory Knowledge: Should have a solid understanding of regulatory requirements, industry standards, and best practices governing documentation processes, such as ISO standards, FDA regulations, GDPR, and other relevant regulations. Experience in the Finance Industry with a focus on Data.
· Communication Skills: Must have strong communication skills to collaborate effectively with cross-functional teams, convey information clearly and accurately, and facilitate document reviews, approvals, and revisions.
· Must have in in depth knowledge of the Finance Industry with an emphasis on Data
· Problem-Solving Skills: Should have strong problem-solving skills to identify issues, analyze root causes, and recommend solutions to address documentation-related challenges, such as compliance gaps, process inefficiencies, and quality issues.
Experience Required:
· Bachelor’s Degree or 4 additional years of work history or more years of document writing, including emphasis in the Data space, finance experience preferred
Salary Range:
$114,700 - 194,900 USDSalary range is a good faith estimate of base pay. Northern Trust provides a comprehensive benefits package including retirement benefits (401k and pension), health and welfare benefits (medical, dental, vision, spending accounts and disability), paid time off, parental and caregiver leave, life & accident insurance, and other voluntary and well-being benefits. Northern Trust also provides a discretionary bonus program that may include an equity component.
