Job Description:
This job is responsible for providing diverse and confidential administrative support, including extensive calendar management. Key responsibilities include supporting management with administrative tasks, coordinating travel arrangements, processing expenses, gathering and reporting information relevant to/for the executive, and responding to incoming mail. Job expectations may include assisting with organizing in-person meetings and off-sites and managing different and conflicting objectives, projects, or activities in a responsive and personable manner.
Responsibilities:
- Communicates with executives and line management to gather and convey relevant information
- Answers manager's phone line, documenting accurate messages, and handling calls with appropriate judgment
- Manages the calendar of multiple executives proactively, effectively resolving conflicts that arise in a professional manner
- Arranges and handles details related to travel arrangements, expense reports, meetings, and appointments
- Prepares meeting minutes and related meeting documents, utilizing written and oral communication skills
- Prepares correspondence, reports, and forms for leaders, following interaction with internal and/or external customers to answer questions, research, and resolve problems

Line of Business Job Description
Performs diverse, advanced and confidential administrative support functions including composing, signing and releasing routine but somewhat complex correspondence. Usually relieves management of administrative details; gathers, compiles and reports information relevant to/for department; may manage a number of different and often conflicting objectives, projects or activities at one time. Communicates with executives and line management to gather or convey relevant information. May have exposure to sensitive information and must use considerable tact, diplomacy and judgment. Advanced administrative and analytical skills. Thorough knowledge of a variety of software programs.
Key Responsibilities:
- Schedule meetings and calendar management.
- Prepare managers for meetings, including daily calendar.
- Assist in compiling and organizing documents and materials for meetings.
- Perform onboarding tasks for incoming resources/offboarding tasks for exiting resources.
- Accurately arrange travel plans and itineraries.
- Assist leaders in coordinating and managing team routines, events and activities.
- Maintain and update department organizational charts.
- Expense processing.

Required Skills:
- Prior or current work experience as an Administrative or Executive Assistant is required
- Demonstrated ability to interact with senior-level executives.
- Resourceful and able to work autonomously across a complex organization structure.

- Ability to handle confidential and sensitive material with highest degree of integrity.
- Superior interpersonal communications skills.
- Ability to multi-task in an urgent and deadline-driven environment.
- Excellent attention to detail and organizational skills.
- Must be proficient in MS Office Products (Outlook, Word, Excel, PowerPoint, Visio).
- Knowledge of Bank of America systems desired, including Concur, Ariba/eRequest, Corporate Travel Services, etc.
Qualifications/Desired Skills:
- Must have prior work or current work experience as an Administrative Assistant.
- Demonstrated ability to interact with senior-level executives.
- Resourceful and able to work autonomously across a complex organization structure.
