  • You juggle multiple tasks with ease and don’t let details slip.
  • Your friends describe you as reliable. If you say you’ll do something, you get it done.
  • You’re comfortable working independently but know when to ask for help.
  • You don’t blindly trust chatbots. AI tools can be powerful, but they also hallucinate. You know how to cross-check and verify their output.
  • You know a thing or two about prompt engineering. If you used ChatGPT to write your cover letter, you engineered your prompts to make the words sound like you.
  • People trust you with sensitive information because you’re discreet. You don’t gossip or overshare.

What will I be doing?

Our philosophy is to bring talented people on board and shape roles that maximise their strengths.

This is an open-ended role with broad exposure to operational challenges in running a business—particularly an investment firm. Primarily, you’ll help the team run more efficiently, using smart systems, automation, and AI where practical.

That means:

  • Figuring things out as you go. We don’t expect you to know everything upfront.
  • Working smart. If something can be automated, streamlined, systematised, or optimised using AI, you’ll find a way to do it.
  • Asking for help when needed. We work collaboratively and don’t believe in silos.
  • Thinking of research as a means to an end. You’ll spend a lot of time digging into topics, synthesising information, and turning insights into action.

What will I be accountable for?

Operational support

You will own the team’s satisfaction with the quality of operational support by ensuring:

  • The occasional training workshop is run smoothly and meets the team’s needs.
  • Business travel is easy and efficient. 
  • Events like brown-bag sessions and “friends of the firm” gatherings are well-executed, enjoyable, and valuable.
  • Team outings are well-planned and well-received.

Hiring logistics

You will own the satisfaction of job candidates and hiring managers by ensuring:

  • Hiring processes are seamless and professional. Scheduling, logistics, and communications run smoothly.
  • New hires experience frictionless, well-organised onboarding.

Office operations

You will own the team’s satisfaction with our office by ensuring:

  • The workspace supports collaboration and focus. The team finds it easy to work together productively.
  • The office environment promotes health and safety. For example, air and water quality meet high standards.
  • The office is consistently clean, well-organised, and aesthetically on-brand.
  • The pantry is well-stocked with snacks, drinks, coffee beans, and other supplies. 
  • Our asset inventory is maintained efficiently. Equipment and supplies are available, organised, and never a bottleneck for work.

AI oversight and administrative accuracy

You will own the timeliness and accuracy of resolving cases where our robots need human help, constantly refining workflows to minimise manual intervention, including:

  • Bookkeeping is handled correctly and on time. Payments, invoices, and financial records are processed with accuracy.
  • Inbound messages are triaged effectively. Investment proposals and other important communications reach the right people without delay.
  • Our brand is monitored effectively on social media. Important mentions are flagged, and relevant issues are surfaced promptly.

Team projects

You will own the team’s satisfaction with your contributions to key projects, for example:

  • Creating a scholarship program that aligns with the firm’s mission.
  • Developing an internship program that attracts and supports great talent.
  • Helping build a board of investment advisors to strengthen our network.
  • Improving cost efficiency by researching vendors and conducting price comparisons.
  • Supporting Peter with select personal projects, such as price-comparison shopping for medical diagnostics and arranging participation in sports competitions and other travel planning.
  • Contributing to due diligence on potential investments.

Who will I report to?

You’ll report to Justina, the Chief of Staff.

What will success look like for me?

In 3 months:

  • You’ve taken ownership of at least one key task, reducing Justina’s workload.
  • You’ve started collaborating with the wider Titanium Birch team and understand their ways of working.

In 6 months:

  • You’re running a number of projects for Justina.
  • You’ve built efficient, repeatable systems that save time.

In 12 months:

  • You’ve significantly improved how our office and operations run.
  • You’ve optimised key workflows to save time and reduce manual effort.
  • You’ve completed several complex projects, directly contributing to Titanium Birch’s goals.
