Reports to the Managers of Medical Staff Services. Accountable for day-to-day maintenance, support, training, and optimization of the credentialing database and activities as assigned including credentialing and privileging functions as well as provider enrollment functions to comply with internal hospital / health system requirements, and external accreditation standards, state laws and Centers for Medicare and Medicaid (CMS) Conditions of Participation for Hospitals.
Essential Responsibilities:
Optimizing practitioner credentialing, privileging, payer enrollment, and performance evaluation through automation and efficiencies:
Oversight and assisting with optimizing application management and verification activities, managing expirables, ensuring that the credentialing database is appropriately updated upon Board of Directors meeting and/or when there is a change in practitioner status/privileges (i.e. temporary privileges), send out standard/batched correspondences (i.e., Board letters)
In conjunction with the Director/Manager of MSSD, assist in appropriate orientation and training to all new incoming medical staff members and medical staff leaders as it pertains to the automation of the database and credentialing workflows.
Assure that workflow, information systems and policies and procedures are current and appropriately maintained.
Policies, Procedures and Documents
In conjunction with the Director/Manager:
Control and direct the administrative maintenance and support of governance documents as it pertains to the database.
Ensure that all workflows within the database are reflective of current federal, state, and accreditation requirements.
Protect permanent records by managing a secure method of retention in accordance with state law, the organization’s retention policies, and the department’s policies.
Medical Staff Services Department Operations
In conjunction with the Director/Manager:
Acts as a supportive resource for staff and users and identifies any tools and training necessary to perform their assigned tasks as it pertains to the database functionality.
Promote best practice by continually assessing credentialing/privileging and provider enrollment processes and championing innovation and best practice.
Support the Director/Manager by providing ongoing interface with relevant medical staff leaders and hospital administration and enhance communication.
Data Analyst/Technology Optimization
Maintains and supports the credentialing database used by the department and designated constituency.
Acts as a functional and technical resource and system expert.
Acts as a liaison between the system vendor and IT and Medical Staff Services and Revenue Cycle.
Ensures the security, integrity, and confidentiality of the data housed within the credentialing database in accordance with system and/or hospital policies.
Validates data and maintains data dictionaries for all systems and supports all users by providing education, ongoing assistance, reference and troubleshooting.
Creates and maintains productivity graphs, reports, and information, as requested.
Develops data entry and credentialing software operational policies, procedures, and forms in concert with MSS Manager and Director.
Manages the integration and optimization of the credentialing software system.
Develops and deploys provider enrollment, credentialing and re-credentialing workflows to ensure efficient and effective alignment of processes.
Collaborates with key staff and constituents on managing an ongoing reporting process that is accurate, timely and action driven.
Influences and leads technology integration and migration with other information systems.
Miscellaneous and Other Tasks:
Maintains a working knowledge of all computer applications needed for position including facility specific credentialing software database, Word, Excel, and PowerPoint (as applicable).
The Data Analyst may be assigned various activities required to support the general operations of the Medical Staff Services Department.
Continually strives to achieve individual team and departmental goals.
Serves as a back-up to team leads and credentialing coordinators.
Leads and/or participates in special project teams as assigned.
Minimum Qualifications
Experience:
4+ years’ experience in Medical Staff Services and/or Provider Enrollment in an acute healthcare setting required.
Must have a solid foundation and understanding of the credentialing and privileging workflows.
Proficient knowledge of Microsoft Word, Excel, and Outlook; credentialing database management required.
Education: Associates or bachelor’s degree preferred.
Certification(s)/License(s)/Registration(s): Certified Provider Credentialing Specialist (CPCS) or Certified Professional Medical Services Management (CPMSM) preferred.
