Do you have experience providing confidential secretarial, administrative, and operational support to high level managers? Oregon Health Authority’s Data Strategy & Operations Director is seeking someone to support highly sensitive matters of data access, data sharing and related documents and agreements. This role is essential for maintaining the efficiency of the ODSO office and supporting decision-making processes.
In this position, you will:
- Provide general secretarial assistance, including managing calendars, scheduling meetings, and coordinating appointments.
- Assist in gathering information, reports, and research.
- Perform data entry tasks, process and store confidential information.
- Act as a liaison between executives and internal/external parties.
- Respond to questions, inquiries, and other communication via email, phone, and mail.
- Ensures prompt follow-up on action items, decisions, or inquiries raised during meetings, tracking responses and making sure deadlines are met.

This is a hybrid position. Some work can be performed remotely; however 20-40% of the work will need to be performed at the primary office location, 500 Summer Street NE, Salem, OR 97301. Work location can be changed at any time at the discretion of the hiring manager.

WHAT WE ARE LOOKING FOR:
Minimum Qualifications
Three years of clerical/secretarial experience which included:
- one year at a full performance level performing typing, word processing, or other generating of documents; and
- lead work responsibility or coordination of office procedures.
Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience.
No substitution will be made for the one year at the full performance level.
Desired Attributes
- Experience in creating and maintaining a work environment that is respectful and accepting of diversity among team members and the people we serve.
- Extensive personal computer skills, including skills using Microsoft (MS) Outlook, Word, Excel, PowerPoint, Edge, SharePoint, and Teams.
- Excellent verbal and written communication skills with the ability to communicate at all organizational levels with application of proper grammar, punctuation, spelling, and sentence structure.
- Demonstrated ability to work on multiple tasks simultaneously, sometimes within short time frames to handle rapidly changing priorities and deadlines.
- Demonstrated ability to monitor multiple communication streams at once including email, instant message, phone and virtual work technologies (remote meetings, calls, etc.)
- Experience using Agile or hybrid project management approaches.
- Demonstrated ablility to work collaboratively and foster collaboration amongst team members at all levels.
- Experience working in a cross-functional role with many partners, priorities, and active streams of work.
- Demonstrated skill to use relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
