SUMMARY 

The Advancement Services Data Specialist supports our Advancement Department by ensuring the accurate and efficient entry, management, and maintenance of donor, alumni, and constituent records. This role is essential in maintaining data integrity within our database systems to support fundraising, engagement, and stewardship efforts. 


This is a full-time, 12-month, non-exempt position that requires some night and weekend work.


RESPONSIBILITIES 

  • Accurately enter, update, and maintain donor, alumni, and constituent records in Raiser’s Edge and Blackbaud systems. 
  • Generate and format reports, mailing lists, and data exports to support fundraising and engagement efforts. 
  • Conduct regular audits to ensure data accuracy and resolve discrepancies in collaboration with the Advancement team. 
  • Maintain organized records for fundraising campaigns, events, and donor stewardship. 
  • Create custom reports as needed.
  • Create queries on the database as needed for appeals, reporting, etc.
  • Serve as a back up to process and track gifts, pledges, and acknowledgments, ensuring financial and donor data accuracy. 
  • Assist in preparing donor acknowledgment letters, tax receipts, and other communications when needed. 
  • Prepare prospect research of individuals, corporations, and foundations using the web and other information sources, as requested by the Chief Development Officer or Head of School. 
  • Prepare statistical reports to track fundraising performance and identify trends/opportunities.
  • Handle sensitive donor information with confidentiality and adhere to data security protocols. 
  • Participate as needed in staffing all development and alumni events and programs.
  • Collaborate with other departments to ensure accurate data sharing and integration across school systems.
  • Contribution to the life of the school outside of regular duties is expected.
  • Assist with carpool as needed.
  • Other duties as assigned by manager. 

Requirements

QUALIFICATIONS  

The ideal candidate will have

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Experience with Raiser’s Edge and Blackbaud database management is preferred.
  • Previous data entry experience in a school, nonprofit, or fundraising environment is strongly preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with CRM or fundraising software.
  • Strong attention to detail with a high degree of accuracy in data entry.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent organizational, analytical, and problem-solving skills.
  • Maintain up-to-date knowledge of industry best practices.
  • Strong interpersonal and communication skills, with the ability to work collaboratively.
  • Exhibit excellent verbal, visual, written and interpersonal communication skills
  • Commitment to the school’s mission and core values.
