Job Description Summary:

The Data Integrity Supervisor works in coordination with the Data Integrity Manager to administer daily functions, provides leadership and support of the System-wide Enterprise Master Patient Index (EMPI) and the Data Integrity team. This position assists HIM leadership team with training, scheduling, process and workflow assessment, quality reporting, production standard reporting and more advanced functions and/or responsibilities.  Provides support to approximately 19 + FTE's that are responsible for chart corrections, duplicate merges, overlays, and other Data Integrity Analyst functions for all OhioHealth entities on EPIC (Care Connect).  This position supports all EMPI functions related to Community Connect entities. These tasks require effective critical thinking skills to analyze regulatory requirements, state, and federal laws, including Joint Commission, the 21st Century Cures Act and HIPAA.

Responsible for the instruction and education of the Data Integrity Analysts which directly contributes to the integrity of the legal health record. This position makes decisions concerning scheduling, process and workflow assessment, and productivity standard reporting. Ensures that associates provide courteous, efficient service to all customer groups. Assists with interviewing, hiring, and training associates as well as creating performance evaluations, rewarding, and disciplining associates. The Data Integrity Supervisor is responsible for coordinating and communicating with members of the clinical staff, revenue cycle management, and information technology departments, and others as needed to facilitate chart corrections.

This position works closely with Risk management and ensures timely and accurate completion of patient amendment requests. As problems are identified the Data Integrity Supervisor is responsible for investigating the issue, analyzing the problem, and recommending solutions to resolve the issue or create more efficient workflows within the Data Integrity department.  This role requires excellent written and verbal communication skills. The position must work independently with little to no supervision. Data abstraction and computer skills are essential to this role along with excellent customer service skills. Excellent organizational skills with attention to detail are necessary to perform this role successfully. This associate must also be able to perform other duties as assigned by HIM Leadership.

Responsibilities And Duties:

 

50% 
• Provides operational support and performs the duties in the various functions as assigned  
• Coordinates staffing, work assignments and workflow assessment and proactively identifies issues and backlogs that may inhibit the quality of services and makes decisions to ensure targets are met. 
• Performs all applicable audits/reviews and compiles the data for reporting purposes, including productivity and quality reviews. 
• Analyzes data and workflows to identify potential standardization/procedural process flaws, recommending solutions and training needed to prevent errors or omissions contributing to data integrity issues. 
• Demonstrates initiative to identify issues and review related information to develop or evaluate options and recommend solutions for improvement / implementation. 
• Manage multiple critical tasks and assignments simultaneously with speed and accuracy in a fast paced and evolving environment. 
• Understand and present complex information and respond to questions about data integrity issues from all departments across the organization. 
• Work both independently and collaboratively with others in a professional manner internally and externally to the department with minimal supervision/guidance. 
• Escalates abnormal issues to HIM leadership for review and assistance. 
• Must use good judgment in deciding what issues and when to forward to HIM leadership.
• Attends meetings as required. 
• Provides education and in-service training to all customers, internal or external. 
• Prepares documentation or training policies, procedures and guidelines as assigned. 
• Generates reports for distribution to other areas or for the team as assigned. 
• Participates or leads task forces, project teams or committees as assigned. 
• Maintains positive behavior and adapts to a changing environment.
• Delegates assigned work to employees based on skill level and experience. 

30% 
• Troubleshoots data integrity issues and maintains the integrity of the Enterprise Master Patient Index (EMPI). 
• Monitors overlay reports and potential duplicate patient work queues to research and perform enterprise master patient index (EMPI) maintenance required to validate patient identity utilizing established department guidelines / processes in addition to personal discretion and judgement. 
• Monitors assigned chart correction cases (document corrections, amendment requests, etc.) or tasks on a routine basis and follows up with all members tasked within the case to ensure timely resolution. 
• Utilize internal and external resources as needed to aid in the necessary research to resolve duplicates, overlays and other chart correction issues using various applications and reviewing clinical documentation and other data resources. 
• Search for and analyze demographic and clinical data applying critical thinking skills to discern correct patient information in accordance with established processes and procedures. 
• Uses logic, attention to detail and critical thinking skills to identify corrective measures, approaches to solving problems, and alternate solutions as necessary.
• Cross trains HIM associates as part of onboarding or for the purpose of providing back up.  

15% 
• Contributes to HIM goal of maintaining the integrity of the medical record. 
• Demonstrates exemplary customer service and leadership 
• Assumes responsibility for professional growth and development by completing training/recertification designed to maintain and increase job knowledge. 
• Maintains knowledge of key operational data systems and organizational workflows. 
• Communicates cooperatively and constructively with physicians, patients, guests, and all other members of the healthcare team demonstrating excellent interpersonal, oral, written, and organizational skills. 
• Possesses strong analytical skills to include critical thinking and process improvement skills. 
• Provides guidance and continuously educates staff on the importance of confidentiality guidelines.
• Coordinates monthly huddles with job specific teams and participates in weekly department huddles.
• Establish productivity standards, provide concurrent feedback on job performance, and routinely conduct quantitative and qualitative analysis of staff to monitor for compliance and ensure adherence to established workflow processes.
• Maintains a working knowledge of State and Federal regulatory standards, HIPAA, and department policies.
• Other duties as assigned by HIM leadership.

5%
• May be required to provide afterhours/on-call support for urgent requests and coverage. 
• Arranges coverage for on-call schedule.
• Assists Manager with evaluating staff performance on an annual basis.  
• Provides input on department goals and objectives and HIM performance improvement plan as well as assists with maintaining overall compliance. 
• Maintains associate files and documents when needed. 
•Investigates and reports privacy-related complaints or breaches. 
• Verifies and reconciles timecards 

Minimum Qualifications:

Associate's Degree, Bachelor's DegreeRHIA - Registered Health Information Administrator - American Health Information Management Association, RHIT - Registered Health Information Technician - American Health Information Management Association

Additional Job Description:

SPECIALIZED KNOWLEDGE

Data Integrity/EMPI Data Experience of 3 years or greater.

Strong computer skills, including knowledge of EPIC, and data archive systems. 

Monday- Friday 8am-4:30pm. May also do On Call as needed.
