Reports to the Senior Manager – Functional Operations and Static Data Center of Excellence

The Functional Operations and Static Data (FOSD) team plays a crucial role in supporting the Aztec Group by enhancing operational efficiency and ensuring the accuracy and integrity of static data across various functions and jurisdictions. The team is responsible for managing and maintaining static data, which includes critical information that does not frequently change, such as bank account detail amendments and other static data amendments in line with our internal controls and processes. This includes performing call backs to verify the information where necessary, ensuring that all amendments are accurate and secure.

The team also focuses on continuous improvement and innovation, identifying opportunities to streamline processes and implement new operational tasks. By doing so, they help the organization to adapt to changing business needs and maintain a competitive edge.

To support ongoing growth within the US and globally, we are looking to expand the existing team by establishing a footprint in our Philadelphia office, the successful applicant will be required to support senior management in identifying and onboarding the rest of this new branch.

Key Responsibilities:

  • Lead and Guide: Provide clear direction and guidance to the team, ensuring they understand their roles and responsibilities.
  • Managerial Reviews: Conduct 'four eyes' reviews to ensure updates are accurate and comply with internal policies.
  • Risk Management: Prioritize risk reduction by adhering to strict controls and compliance standards.
  • Team Relationships: Foster strong global relationships with direct and indirect reports to encourage proactive teamwork and collaboration.
  • Achieve KPIs: Drive the team to meet individual and collective KPIs that contribute to overall team goals. Help ensure the new US branch of the team achieve their specific KPIs.
  • Client Satisfaction: Ensure the satisfaction of clients, client-facing and investor services teams, and investors by maintaining regular, open, and honest communication.
  • Effective Communication: Communicate clearly with team members, clients, and other stakeholders to ensure alignment on objectives, SLAs, and expectations.
  • Problem Solving: Focus on finding effective and efficient solutions to challenges and proactively adapt to expand our offerings.
  • Continuous Improvement: Create and maintain a culture of continuous improvement by regularly reviewing and optimizing processes and technologies.
  • Ad hoc Projects – Plan, manage and oversee ad hoc projects

Operational Excellence:

  • Training and Documentation: Utilize and update training support documentation as required for client-specific requirements.
  • Staff Onboarding: Oversee the induction, integration, and training of new team members.
  • IT Systems: Utilize multiple IT systems (eFront Invest (FIA), Bank Clarity, Investment Café, PearOnline, Intralinks, Viewpoint, Yardi, Aztec Invest) to ensure accurate data capture.
  • Client-Facing Teams: Take ownership of allocated client-facing and investor services teams, ensuring regular review meetings are held to strengthen relationships and encourage open feedback.
  • Workload Management: Demonstrate planning and prioritization skills to manage workloads and deliver quality results within agreed SLAs. Drive global team support through increased awareness and utilization of the US team.
  • Open Communication: Facilitate open communication channels within the global team to address issues promptly and encourage feedback.
  • Operational Issues: Manage day-to-day operational issues and respond to urgent client facing or investor services team requests.
  • Escalation Point: Act as an escalation point for members of the Functional Operations and Static Data team, Investor Services and Client Facing Teams as needed.
  • Process Awareness: Stay up to date with internal processes and procedures that impact the team and be aware of future changes.

Skills, knowledge, expertise:

  • Bachelor’s degree in finance, Accounting, Business Administration, or related field.
  • Analytical Skills: Strong analytical skills to interpret data, identify trends, and make data-driven decisions.
  • Communication Abilities: Excellent written and verbal communication abilities to interact effectively with clients and team members.
  • Problem Solving: Ability to effectively identify and resolve issues, ensuring smooth operations.
  • Time Management: Excellent time management skills to handle multiple tasks and meet deadlines effectively, while also balancing multiple time zone coverage.
  • Positive Attitude: Maintain a positive attitude and proactively address challenges and opportunities.
  • Leadership Experience: Demonstrated experience in leadership and managing teams effectively.
  • Technical Proficiency: Proficient in data management systems and software including but not limited to eFront Invest (FIA), PearOnline, Bank Clarity, Investment Café, Intralinks, Yardi, Viewpoint, Investran.
  • Computer Literacy: Essential computer literacy skills to perform tasks efficiently including Microsoft Word, Excel, and Teams. PowerBI and/or Alteryx experience a plus.
  • Attention to Detail: Strong attention to detail to ensure accuracy and quality in work.
  • Interpersonal Skills: Good interpersonal skills to develop close working relationships with global colleagues and teams.
  • Relevant Experience: Previous experience in alternative investment funds or the investment management industry is preferred. Corporate or other relevant management roles is beneficial.
