Overview

Northwood Technical College is seeking applications from qualified candidates for a full-time Institutional Effectiveness Associate - Data Analyst at any of our four campus locations. (Ashland, New Richmond, Rice Lake, or Superior)

 

This position assists the Institutional Effectiveness Manager with basic data pulls and in-depth data analytics, the development of survey methodologies, implementation of research projects, and generation of reports. Accomplishing this involves the collection and reporting of data from existing college, state, and federal databases, U.S. Census website and others. Additionally, we survey various populations to aid in evaluating current practices and future decision making for the college. Provide Help Desk support for data requests and surveys for all managers, faculty, and staff.

  • Utilize a wide variety of data reporting tools to complete internal assigned data and survey requests. Adhere to timelines and requirements and provide results that meet the needs of the end user.
  • Utilize Power BI for data visualization, reporting, and analytics to assist in data driven decision making.
  • Assist with annual collegewide projects and reports, including but not limited too: fall board report, program review data updates, county reports, advisory committee infographics, and environmental scan report.
  • Gather labor market data utilizing the Lightcast Analyst data platform and other labor market tools (i.e. US Census Bureau and Wisconomy)
  • Assist in the coordination and distribution of the annual WTCS surveys: communication, data collection, final report development, and any additional tasks assigned by Institutional Effectiveness Manager. The WTCS surveys include Graduate Follow Up Report, Employer Survey (every 4 years), 5 Year Follow Up Survey (every 4 years
  • Manage enrollment funnel: send weekly, assign programs to career clusters, create process documentation and communicate to teammates, troubleshoot issues, run weekly tests to ensure all programs are assigned
  • Perform Data Retrieval and Analysis for Staff, Student, Faculty and Board Data Requests
    • Consider and interpret request as assigned by Institutional Effectiveness Manager
    • Ask clarifying questions
    • Determine purpose (end use) of request
    • Determine correct data source to use (existing reports or documents; data obtained from Cognos/Power BI/ Anthology reports; online sources, especially governmental websites; etc.)
    • Retrieve data from appropriate source
    • Create data appropriate visualizations to best display data results
    • Provide troubleshooting assistance to Cognos/Power BI/ Anthology users when reports don’t run correctly, or don’t download to Excel
    • Analyze data to obtain information needed by requesting party
      • Distribute answer to requesting party via various methods (virtual meeting, Help Desk ticket, email, telephone, etc.) as appropriate
  • Conduct WTCS State Follow-Up Surveys (Graduate Follow-Up, Longitudinal Follow-Up, Employer Follow-Up) and Accreditation Surveys (Apprenticeship – Graduate, Employer and Faculty; Health Program Accreditation Surveys – Graduate and Employer)
    • Retrieve mailing list from state of contacts to survey
    • Develop surveys for hardcopy
    • Send survey mailing
    • Develop online survey instrument using survey software to send to contacts through email
    • Interpret responses
    • Enter data collected into Excel sheets
    • Evaluate response rate
    • Initiate multiple mailings as needed
    • Initiate phone calls to collect further responses
    • Train work-study or call-staff (if needed) on phone call procedures for survey response procurement
    • Research online to locate additional telephone and address contact information
      • Write report (See Write Reports section)
  • Conduct National Surveys
    • Assist in the administration of National Surveys (CCSSE, SSI, CESS, etc.) on a regular rotation
    • Analyze statistical response data returned from company
    • Analyze and create comparisons to previous years data to demonstrate changes or present a new or different trend
    • Analyze and create comparisons to Wisconsin consortium, small college cohort, and national results to demonstrate college successes and areas for improvement
    • Create in-house report of results by writing narratives and creating tables and charts to show survey results (See Write Reports section for additional detail)
    • Distribute results to inquiring personnel
    • Post final report to college Webpage, SharePoint Connection, and other locations as appropriate
  • Update Documents/Reports for College Use (Fact Book, Program Dashboards, County Reports for Northwood College Board, etc.)
    • Establish timeline
    • Distribute requests to other departments or staff for section updates outside of Institutional Research’s responsibility (Budget, Talent and Culture, etc.)
    • Collect data from appropriate sources to make decisions based on the best resource to use (date obtained from single or combined Cognos/Anthology/Power BI reports or cubes; online sources, especially governmental websites; US Census Bureau website; PeopleSoft/Anthology queries; etc.)
    • Enter new updated statistical information where appropriate
    • Determine duplicate or incorrect data
    • Collaborate with marketing staff to design covers for eye appeal
    • Write report (See Write Reports section)
      • Ensure all reports and documents meet accessibility regulations
  • Conduct Miscellaneous Surveys and Evaluation Surveys
    • Establish timeline
    • Create survey instrument
    • Develop online survey instrument using survey software to send contacts to receive responses
    • Analyze responses
    • Initiate follow-up if needed to increase response rates
    • Compile data and provide appropriate data visualizations
    • Evaluate response rate
      • Write reports (See Write Reports section)
  • Analyze Labor market data
    • Analyze labor market data using external sources such as Lightcast and Wisconomy to assist program development
      • Assist college staff and faculty in understanding labor market data and the impact it may have on Northwood Tech
  • Other duties as assigned

Qualifications

Degree & Experience Required:

  • Associate’s degree in related field
  • Three years related work experience

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively both written and verbally
  • Proficiency in the use of Microsoft Office suite and the ability to effectively apply technology to tasks and projects
  • Ability to contribute to a team environment while maintaining positivity and professionalism
  • Strong customer service skills that focus on creative problem solving
  • Time management skills that apply organization and prioritization demonstrating the ability to multitask and work independently
  • Ability to obtain driver’s license and insurance coverage in accordance with College policy

Preferred:

  • Bachelor's degree in related field
  • Proficient in training applications and systems such as Blackboard, Maestro, Articulate 360, Camtasia

FY25 Salary - Grade I - $23.50 / hour
