PRINCIPAL ACCOUNTABILITIES:

  • Create a welcoming environment for students and faculty and administer the Honors Program office in a customer-friendly, service-oriented manner.
  • Advise undergraduate students with escalated academic concerns across all disciplines of the COAS in person or virtually  
  • Prepares and processes paperwork for funding for students to travel domestically, abroad, and for research opportunities and materials. Prepares service requests, purchase orders, etc
  • Demonstrate a commitment to academic advising and mentoring through special assignments and events geared to the staff, faculty, and students
  • Works collaboratively with the students, committees, Honors program, and internal and external stakeholders
  • Assist students and faculty in all matters relating to curriculum programming, credit increases, graduation clearance process, overrides, transfer, special credit approval, leaves of absence, withdrawals, reinstatements, special grade reports, student progress, academic probation, reviewing and approving Student Change of Major and/or Minor Forms, etc.
  • Work with the professional advisors who are not under this office. Create and implement the upskilling for COAS department advisors and faculty advisors. Collaborate with other these stakeholders to deliver efficient advising support to upper-class students in the COAS
  • Experience using Banner, Workday, SharePoint, Blackboard, Excel, Access, Data Analysis, Python and/or other relevant systems and databases.
  • Work with the University’s Office of Student Services to provide crisis intervention to students when difficult academic situations occur at school
  • Confer with parents or guardians (with FERPA), teachers, administrators, and other professionals to discuss students’ academic progress and to determine priorities for students and their resource needs
  • Counsel students on escalated situations regarding educational issues, such as course and program selection, class scheduling and registration, school adjustment, truancy, study habits, and career planning
  • Assist with some graduation-related processes (ensuring timeliness and accurate processing), such as verifying honors-related discrepancies.
  • Support Associate Director of Student Policy and Success on a consultative and supportive basis regarding issues relating to advising, program development, and curriculum direction
  • Redesign and lead the College’s Men of Flagship to enhance male recruitment, retentions, and experiences in COAS
  • Report on academic progress and milestones
  • Other duties as assigned. 

Programs & Major Events 

  • Organize informational sessions during major COAS and OUS events and initiatives
  • Coordinate workshops and activities throughout the academic year.
  • Coordinate events and activities

Develop Educational Content & Resources 

  • Assist with updates of guidelines and handbooks. 
  • Develop and recommend new or revised goals and objectives.
  • Prepare periodic reports, academic statements and records on activities, progress, status or other special reports for academic student affairs or outside agencies. 
  • Evaluate program effectiveness to develop improved methods; devise evaluation methodology and implements; analyze results and recommend and/or take appropriate action. 
  • Produce standard orders and processes to ensure effective curriculum guidance and advisement for COAS students
  • Work with the Assistant Director of Communication in the Office of Academic Innovation and Student Success with  high-quality content for the web, social media and other sources to produce credible resources useful to staff, students, and other advisors 
  • Integrate technological resources and data analysis to support curriculum alignment, advising, and student persistence 
  • Other duties as assigned.

Teaching & Training 

  • Prepare academic and advising orientation and training of advisors and faculty. 
  • Assist with honors program 
  • Coordinate necessary advising and mentoring logistics, training, and support
  • Present and deliver training through a variety of in-person and digital methods using contemporary best practices
  • Design and conduct seminars, workshops, programs, and bulletin boards. 
  • Utilize artificial intelligence and Data science to streamline a services and training 
  • Other duties as assigned. 

Communication & Relations 

  • Responsible for academic information and communication program for Academic, and Records
  • Act as a liaison to the appropriate academic communities in the COAS, and the University including staff and faculty

Operations and Regulation

  • Maintain and proficiency in analyzing accurate and complete student records as required by laws, district policies, and administrative regulations
  • Develop procedures to effectively assess advising processes 
  • Create and Analyze data and prepare statistical reports

Innovation & Strategy 

  • Think creatively about the academic experience of students and alumni 
  • Pilot creative approaches that serve the COAS community any time, any place and create an effective on-demand experience 
  • Survey trends and challenges; make informed recommendations for improvement

KNOWLEDGE:

  • Familiarity with Workday (BisonWeb), CourseDog, BisonAdvisor and Canvas.

•       Proficient in utilizing contemporary computer technologies, including MS Office, advanced data analysis tools, AI-driven applications, and various software platforms for data entry, modification, formatting, and retrieval of complex information.

•       Strong spreadsheet skills, including advanced skills in Microsoft Excel and/or SPSS, Python (beginner level), and Access.

CORE COMPETENCIES:

  • Ability to work from 8:30am to 5:00pm with one remote day; Ability to work long hours, including weekends and evenings as required in an Office of Academic Innovation and Student Success; Ability to work occasional evenings and weekends (Freshman Orientation, career fairs, workshops, events)

  • Attend all meetings as required by the Associate Dean and Assistant Dean for the Office of Academic Innovation and Student Success. 

  • Strong time management skills with the ability to manage concurrent assignments of various complexity with tight timelines.

  • Demonstrate skill in multi-tasking, work independently, prioritize daily assignments, and adjust to changing workloads.

  • Demonstrate initiative and dependability, drive for results and efficiencies that achieve intended, measurable outcomes. 

  • Ability to collect, research and provide preliminary data analysis; Ability to create standardized reports, articles, or communication for review by supervisor or for distribution to the academic, business, or professional community.

  • Excellent team-working, training skills, and a willingness to learn from other subject-experts to achieve the best possible solution and raise the collective knowledge of our Office.

  • Ability to interpret and explain rules, regulations, procedures, and policies regarding prerequisite issues and matriculation steps for graduation.

  • Ability to recommend approaches to solving routine problems relating to programmatic requirements or standards.

  • Drive for results and efficiencies that achieve intended, measurable outcomes.

  • Demonstrate effective support for students, faculty, staff, and organizational interests

Compliance Salary Range Disclosure

Expected Salary Range: $75,000 - $85,000
