Position Summary:
The Program Manager plays a critical role in Vanderbilt's interdisciplinary, data-driven offering for undergraduates: the Undergraduate Data Science Program. This individual serves as a key contributor, ensuring the seamless execution of multiple complex priorities, including:
1. Student oversight, guidance, records, and program management
2. Course management
3. Program financials
4. Program website and communications
5. Event planning
6. Additional administrative tasks


The Program Manager manages core operations, adapts to emerging needs, and ensures the program runs efficiently on a daily basis while maintaining alignment with long-term strategic goals. This position reports directly to the Program Director of the Undergraduate Data Science Program.


About the Work Unit:
The College of Connected Computing (CCC) is Vanderbilt’s groundbreaking interdisciplinary college, designed to foster radical collaboration at the intersection of computing and other disciplines. By uniting scholars, students, and industry, the CCC is committed to addressing society's most pressing problems through technology and collaboration. The person in this role will be part of the larger CCC dean’s administrative suite supporting the needs of the growing college.


Duties and Responsibilities:
Academic Student Oversight, Guidance, Records, Program Management:
• Serve as the first point of contact for (current and prospective) undergraduates in the Undergraduate Data Science program
• Answer inquiries about the program
• Collect and analyze data for program evaluation
• Design and implement systems for student oversight, guidance, and records
• Maintain program records, including independent study documentation, course syllabi, and curriculum/course catalog revisions
• Develop and revise program documents, surveys, and forms
• Serve as a liaison with the Data Science Institute, registrar, colleges, and other campus entities
• Process administrative student paperwork and track compliance with program requirements


Course Management:
• Maintain and update course information in university systems, ensuring continuity
• Manage course schedules and room assignments
• Facilitate student declarations and course registrations
• Administer course evaluation submissions and compile results
• Provide administrative support to course instructors
• Support curriculum committee meetings and update program information for the course catalog
• Oversee graders and teaching assistants


Program Website, Social Media, and Communications:
• Partner with the CCC marketing and communication team to execute long-term goals
• Develop and manage the communication strategy for the program
• Collaborate with Vanderbilt Digital Strategies on website design
• Create and update website content for the program
• Compose and publish news items and event listings
• Draft communications related to the program
• Curate content for social media


Community & Event Planning:
• Develop and manage the event strategy for the program
• Organize informational, social, and workshop events for undergraduates
• Collaborate with key campus partners such as the Data Science Institute (DSI), CCC, School of Engineering (VUSE), and Corporate Partnerships
• Coordinate with other campus resources for event planning
• Manage all aspects of event planning, including needs assessments, resource allocation, registrations, pre-event marketing, on-site coordination, post-event follow-up, and more


Program Financials:
• Monitor and manage finances related to the program
• Coordinate and process travel requests
• Purchase and manage expenses related to the program
• Oversee appointments and payroll for graders and teaching assistants
• Handle One Card expenses according to university policies
Supervisory Relationships:
• Supervise or co-supervise undergraduate/graduate assistants for the program.


Education and Experience:
• A Bachelor’s degree from an accredited institution is required; a Master’s degree is preferred
• Two years of experience is required; Five years of experience in higher education or program administration is preferred
• A quantitative and/or computational degree and/or relevant coursework/experience is preferred


Skills and Abilities:
• Demonstrated ability to plan, execute, and organize multiple tasks in a fast-paced environment under pressure from deadlines and competing priorities
• Attention to detail, organizational skills, and analytical abilities
• Maturity and judgment in handling confidential situations involving student crises (e.g., academic issues, job changes, family illness)
• Excellent oral and written communication skills
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
• Preferred proficiency in SkyVU, Oracle, Microsoft Office, and Adobe
• Preferred familiarity with basic HTML and WordPress for website content management
• Preferred experience with RedCap and Tableau
• Ability to work independently while managing multiple tasks simultaneously, often planning a month or more in advance
• Strong interpersonal skills and professionalism when interacting with faculty, staff, leadership, and external vendors
• Capability to track tasks efficiently and manage details, ensuring follow-up on outstanding items
• Highly collaborative work style and self-starter mentality
• Willingness to work outside regular hours as needed
• Highly self-motivated, able to thrive in a demanding environment with minimal supervision
• Aptitude for fostering a culture of teamwork and cooperation within the administrative team and beyond
• Continuous improvement mindset to identify new opportunities
