Grand Canyon University (GCU) is seeking a Facilities Operations Support Assistant to support the mission of Grand Canyon University through GCU's Facilities department.
Purpose within the Organization:
The purpose of this position is to manage and respond to maintenance requests and work orders, serving as a front-line customer service representative and the primary telephone responder for general and emergency call-ins to the department. The role involves coordinating with facility managers, maintenance teams, contractors, and vendors to ensure the timely and accurate completion of work. The position is also responsible for inputting and updating work orders in the Computerized Maintenance Management System (CMMS). Additionally, a key aspect of this role includes compiling and organizing current and historical work order data into structured spreadsheet formats to support analysis and integration with a Large Language Model (LLM), enabling improved data-driven decision-making and operational insights. Position will require occasional data collection work in the field.
Facilities Service Center Responsibilities:
- Serve as the main point of contact for incoming maintenance requests and inquiries from students, employees, and contractors.
- Answer, screen, and route incoming calls with professionalism and accuracy.
- Create, input, and update work orders in the Computerized Maintenance Management System (CMMS).
- Monitor the progress of open work orders and follow up as needed to ensure timely resolution.
- Communicate effectively with maintenance personnel, facility managers, and external vendors to coordinate necessary work.
- Perform other duties as assigned.
Data Compilation and Analysis Responsibilities:
- Regularly compile, organize, and maintain historical and current work order data from the CMMS.
- Structure this data within spreadsheets or other digital formats to prepare for analysis by a Large Language Model (LLM).
- Ensure that data is clean, consistent, and accurately reflects the nature, timing, and resolution of maintenance requests.
- Collaborate with technology leads to support LLM training or query processing with structured maintenance data.
Qualifications:
- Strong organizational and communication skills.
- Proficiency with spreadsheets (e.g., Microsoft Excel or Google Sheets).
- Experience with a Computerized Maintenance Management System (CMMS) preferred.
- Ability to prioritize tasks in a fast-paced, service-oriented environment.
- Detail-oriented with a commitment to data accuracy and process improvement.
Equipment Used and Responsibility
- Integrated Work Management System (iWMS).
- OpenAI ChatGPT, Google Gemini, and other Artificial Intelligence LLMs.
- Microsoft Office, Excel, Word, Teams, SharePoint and Outlook.
- Ladder
- Small hand tools.
Qualifications:
- Must be able to move and lift max 50 lbs.
- Experience with Artificial Intelligence LLMs.
- Note-taking ability
- Attention to detail and safety
- Organizational skills
Experience/Education:
Grand Canyon University is committed to a student first policy. Therefore, all applicants must meet the following eligibility requirements to be considered for student employment:
- Enrolled at GCU as a full-time student in a bachelor’s program or master’s program.
- Retain a 2.0 GPA as a Bachelor level student or a 3.0 GPA as a Master level student.
- Maintain good financial and academic (SAP) standing with the University.
You may be subject to termination if you fall below the minimum requirements.
Pay Rate: Minimum Wage
