Scholarship and Student Aid Office

McGill’s Scholarship and Student Aid Office (SSAO) advises McGill students on funding options, budgeting, and debt management. They disburse all provincial, federal, and US student aid funding, and help with government aid information and documentation. They offer an Entrance Bursary Program, Entrance Scholarships, an In-Course Financial Aid Program (loans and bursaries) and a Work Study Program based on financial need.

Position Summary

Supports the development and ongoing maintenance of operational financial reports and trend analyses to meet the strategic and operational needs, goals, and mission of the Scholarship and Student Aid Office. Responsibilities include developing and implementing financial data and report delivery for Student Government Financial Assistance and Institutional Financial Aid and Awards. This role also involves managing data warehouse views, reporting tools, query tools, and providing end-user reporting support. Represents the Scholarship and Student Aid Office within the University community.

Primary Responsibilities

  • Ensure availability of data to support operational and strategic business needs, including developing and maintaining internal/external reports and data warehouse views for government aid, need-based aid, and other scholarships/awards.
  • Ensure access, security, and deployment of financial reports comply with data governance policies and confidentiality regulations surrounding need-based and government aid.
  • Ensure data quality control and support the reconciliation of subsidiary systems (e.g., Banner Student Aid, Work Study Subsidy Management System) to the finance system where appropriate.
  • Analyze data requests and determine the best method to locate, assemble, and report data to meet the needs of various client groups.
  • Provide solid analytical and quantitative information to support evidence-based decision-making.
  • Develop and maintain predefined web-based reports/templates to incorporate new data sources.
  • Develop and maintain all supporting report documentation and maintain the reporting production schedule to ensure timely delivery of reports to clients.
  • Participate in the development and maintenance of PowerBI space and related reports.
  • Develop and maintain data warehouse views and perform testing for all phases of data warehouse development, including implementing new or improved views and upgrades.
  • Troubleshoot, assess, and resolve problems requiring specialized skills and technical knowledge. Provide advice and training to clients on problem resolution. Inform supervisor when appropriate.
  • Provide relevant records to the Student Services Assessment team related to service statistics and the deployment of student experience studies.
  • Represent the unit at internal/external meetings.
  • Undertake special projects.

Other Qualifying Skills and/or Abilities

  • Proven experience designing and generating statistical reports and analyzing results.
  • Advanced proficiency in Excel (e.g., creating formulas, pivot tables, Power Query).
  • Computer literate with all Microsoft Office tools, MINERVA, Banner systems (e.g., FIS, SIS, BSA).
  • Advanced experience and ease with SQL and Crystal Reports.
  • Experience with Power BI development is an asset.
  • Experience with financial/accounting concepts required.
  • Experience in the student aid and scholarship field is an asset.
  • Strong organizational and problem-solving skills.
  • Detail-oriented with a proven ability to manage, integrate, effectively communicate, update, and document constantly changing information.
  • Ability to work independently and as a team member, with minimal direction. High degree of flexibility and organization to manage multiple initiatives simultaneously, prioritize, and meet strict deadlines.
  • Demonstrated ability to set and achieve long- and short-term goals.
  • Excellent interpersonal, organizational, and leadership skills.
  • Proficiency in English and French, spoken and written.

Knowledge of French and English: McGill University is an English-language university where day-to-day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # 4 (Fluent) on a scale of 0-4.

(MPEX Grade 05) $71,890.00 - $89,860.00 - $107,830.00
