Job Details:

Purpose

To serve as data specialist for the University Events team.

Responsibilities

  • Create, manage, organize, and ensure the accuracy of mailing lists for all University Events and Experience initiatives and programs across campus.

  • Manage data for audience segments that are commonly invited to presidential and development events - identify, document, and maintain sources for data and data review timelines.

  • Coordinate correspondence and manage event registration collateral (name tags, place cards, table tents, etc.) including managing all onsite event check-in and registration for Presidential, Development and other University wide events.

  • Manage event attendee data; assist supervisor with reports to identify trends in event attendance and giving history as requested using various reporting systems.

  • Create mail merge documents, including envelope templates and address labels.

  • Manage team events tracking spreadsheet and team Outlook calendar.

  • Serve as in-house expert on event technologies including Qualtrics, Event Farm (or similar RSP management systems), Cognos, and Tableau for data organization and reporting, troubleshooting and updating event management database in conjunction with CRM.

  • Standardize RSVP processes to streamline the data collection process and create a better donor experience across Texas Development, specifically building, testing, and managing systems for Presidential, Development and other University wide events.

  • Perform systems analysis and work in conjunction with research team and supervisor to produce reports for various audiences and university leaders.

  • Serve as liaison between University Events and the IT, Data Quality & Strategy, Reporting, Analytics and Data, and Prospect Research, Management & Analysis teams.

  • Create, develop, train and maintain operations manual for data management to support University Event department practices.

  • Provide strategic guidance regarding data collection, list building, and RSVP mechanisms to event shops at the CSU level and external entities and manage, maintain, and respond to RSVPs.

  • Mentor and engage with UEE student worker positions as assigned.

  • Performs other duties as assigned.

Required Qualifications

Bachelor's degree. A combination of two years of experience assisting with data or performing complex event related administrative functions. Proficiency in Microsoft Office Suite. Excellent verbal, written, and interpersonal communication skills. Excellent customer service skills. Professional demeanor and ability to interface effectively with a wide variety of staff, faculty, donors, and vendors. Experience working with sensitive information. Excellent organizational skills with attention to detail and resourcefulness. Demonstrated ability to work effectively in a team-oriented environment. Thrives in a fast-paced, high-stakes environment.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience using UT related systems, such as VIP, Box, Tableau, Cognos, Event Farm and Qualtrics.

Salary Range

$77,000 + depending on qualifications

Working Conditions

The role necessitates a non-standard work schedule, including nights, weekends, and periodic travel. Candidates must be able to adapt to changing priorities and be available outside of typical business hours.

Regular and consistent attendance is required in this job.
