POSITION OVERVIEW

HomeFirst was recently selected to serve as Coordinated Entry Operator in Sonoma County. In partnership with the service provider community and the local Continuum of Care (CoC), HomeFirst will play a critical role in ending homelessness in Sonoma County.

The Quality Control Support Specialist provides support and training to Homeless Management Information System (HMIS) users and supports the Quality Control Department with evaluations, data entry, data quality and in meeting overall agency standards in the area of data and compliance. This position will primarily support Sonoma County Programs with additional support to Santa Clara or other counties as needed. Ā Ā Ā 

REPORTING RELATIONSHIPS

This role reports to the Senior Director, Quality Control.Ā

PRIMARY RESPONSIBILITIES

Referrals, Data Reporting and Data Quality

  • Provide data quality, evaluation and contract reporting support in Sonoma (primary) and Santa Clara County (occasional)
  • Support agency staff in the daily use of HMIS and ensure adherence to legal and county standardsĀ 
  • Manage Continuous Data Quality Improvement (CDQI) reporting and provide data clean-up support to HMIS users, as neededĀ 
  • Regularly review HMIS data for errors, inconsistencies, and anomalies by running standard HMIS reports, and custom reports as directed by Quality Control Dept. Senior Director
  • Support Evaluation Director and Quality Assurance Manager as needed.Ā Ā 
  • Provide first-level HMIS End User supportĀ 
  • Collaborate with program staff and managers to ensure accuracy and reliability of agency data, and full compliance with internal and external data standardsĀ 
  • Run and format reports for Program Directors as needed.Ā 
  • Support managers/supervisors in accessing program level data and monitoring program data quality.Ā 
  • Support with Data Entry and recording of shelter stays and client services in HMIS as needed.Ā Ā 
  • Other duties as assignedĀ 

Qualities

  • Ability to review large numbers of records for accuracy and completeness.
  • Analytical and a critical thinker, with the ability to draw connections between contracts, goal metrics, and user-entered data.
  • Highly organized in task management, record keeping, and communication.
  • Collaborative and enjoys a team-oriented environment. They are proactive about communicating system needs to the appropriate team-member.
  • The Coordinated Entry System Administrator approaches data quality accountability through education and partnership.

Qualifications

QUALIFICATIONS (YOU HAVE)

Knowledge and Experience

  • People with lived experience encouraged to apply
  • Experience with data visualization or presentation
  • Experience with software databases required, HMIS, BACS, City Data or Electronic Health Record highly desirable
  • Experience using SPSS or similar social service analytical software preferred
  • Preferred, not required: Bachelor’s degree in statistics, economics, computer science, or related field OR social work, sociology, psychology or related human services field
  • Experience working in homeless services or related human services field preferred
  • Fluent in Microsoft Office suite, with particular emphasis on Excel
  • Valid CA driver’s license and insurance, and reliable transportation
