FUNCTION: 

As Data Specialist, you’ll have a dynamic and critical role supporting the administrative operations and compliance of our Supportive Services for Veteran Families program that supports the well-being and stability of Veterans and their families who are homeless or experiencing housing instability. As Data Specialist you will oversee and evaluate the day-to-day and future electronic records needs of SSVF case management programs. You will manage the methods to support workflow, quality assurance, access/sharing, internal reporting, and external data upload/download for the program. As Data Specialist you will work with Case Management staff to provide training and advice on systems, methods, equipment, and software/apps. As Data Specialist you will work directly with the SSVF Program Director and IT consultants and contractors to provide statistics, measure outcomes and explain the impact the program is making. 


PRINCIPLE ACTIVITIES:

  • Provide      support in the creation of custom reporting tools as well as reporting for      operational program requirements.
  • Ensure      records compliance with federal and state mandates on      privacy/confidentiality, especially for data sharing and data transfer.
  • Ensure      quality of user operation through reports on file/field completeness,      timeliness, accuracy and consistency. Ensure quality of system reporting      through checks and inspection of file structure.
  • Create      customized reports in order to gain unique information for program      operations, QA and CQI
  • Train      staff and answer questions specific to selected systems and developed      methods, through group, individual, on-line and “tech desk” processes.
  • Attend      program and team meetings to share concerns and updates, as well as learn      about program changes that may affect reporting and data entry.
  • Spot      check electronic case management records to conduct audits, and monitor      Program Coordinators on audit responses. 
  • Troubleshoot      computer issues prior to contacting outside consultants or contractors.
  • Provide      data management training as needed, for new employee      orientation/onboarding.
  • Assist      HR, Development and Finance in preparation of their own required regular      reports to stakeholders.

· Enhanced Data Integrity and Compliance: The Data Specialist ensures that the SSVF program adheres to federal and state mandates regarding privacy and confidentiality, specifically for data sharing and transfer. By ensuring accurate, complete, and timely data entry, and through regular audits, the Data Specialist will guarantee that all records are compliant, reducing the risk of errors or regulatory violations. This will result in a more reliable data set, which is crucial for program oversight and continued funding.

· Improved Program Performance and Reporting: By developing customized reporting tools, conducting audits, and providing insights through data analysis, the Data Specialist will help program managers and staff assess the impact of their efforts, track outcomes, and identify areas for improvement. These measures will facilitate better decision-making, enhance service delivery, and help achieve more effective program outcomes, such as improved housing stability for Veterans.

· Increased Staff Efficiency and Training: The Data Specialist’s role in training staff on data management systems, software applications, and reporting methods will increase staff competency and reduce errors. By providing ongoing support and technical assistance, the Data Specialist will ensure that staff are more efficient in their day-to-day operations, allowing them to focus more on direct client services. This will ultimately lead to a smoother workflow, a better-functioning program, and more effective service provision to Veterans.

Requirements

 

QUALIFICATIONS:

· Understanding of ECMR software programs and the query reports and comfortable with big data set. SQL experience preferred.

· Ability to identify software issues and communicate to rectify. 

· Knowledge of hardware, software, “apps”, and networks and knowledge of workflow, data integrity (complete, timely, accurate, consistent, and secure), reporting, file transfer, and data exchange. Advanced Excel skills required. 

· Experience working with specialized reporting, data handling, data exchange and data security. 

· Ability to provide guidance and support to a wide variety of users, especially to ensure consistent and stable methods and systems for case records. 

· Excellent written and oral communication skills as well as excellent interpersonal skills. 

· Ability to read, analyze and interpret written materials. 

· Strong organizational and analytical skills and ability to multi-task when appropriate.
