We are looking for an Operations Specialist to join our team in Toronto!

The successful candidate will closely collaborate with the Director of Operations Performance to ensure the efficient execution of operational processes, financial transactions, and strategic initiatives across various projects. This role contributes to driving actionable insights, resource allocation plans, and operational improvements to meet business objectives.

Responsibilities include ownership of various operational activities, integration of AI-driven tools for enhanced decision-making, and cross-functional support in areas such as business continuity, internal project management, and transformation initiatives.

Key Accountabilities:

  • AI Champion Responsibilities:

    • Support organization-wide initiatives for the adoption and deployment of AI tools in daily operations and reporting
    • Support the implementation of AI-driven tools to streamline bid and operational processes for improved decision-making
    • Coordinate monthly AI Champion meetings to foster knowledge sharing and continuous improvement in AI applications
    • Develop prompt libraries and other AI-driven tools to improve text comparison tasks, performance dashboards, and bid preparation workflows
  • Business Continuity Responsibilities:

    • Support the development, implementation, and maintenance of the Business Continuity Management System (BCMS) for Hitachi Rail GTS NORAM
    • Coordinate BCMS activities, including risk assessments, business impact analyses, testing, training, and performance reporting, while managing documentation and stakeholder communication
    • Lead the development and execution of business continuity plans (BCPs), emergency response plans (ERPs), and crisis management plans (CMPs) to ensure operational resilience and compliance
  • Internal Projects Responsibilities:

    • Implement tracking methods to monitor Internal Projects execution and ensure financial and scheduling alignment
    • Prepare and manage resource allocation across bids, internal projects, and planned order intake, while refining forecasts with department leaders
    • Mediate discussions with stakeholders, including work package managers and leaders, ensuring alignment on bottom-up estimates and project operational needs
    • Apply advanced forecasting techniques and cost modeling concepts to improve existing labor forecast models and strategically resource-load projects
    • Monitor and support cross-departmental project closures effectively, including material reservation closures and earned value analysis
    • Conduct labor forecast audits, articulate points of concern, and propose actionable resolutions
    • Monitor enterprise systems (SAP, Primavera) to ensure accuracy and integrity of project data for cross-functional reporting
    • Support transformation initiatives, ensuring alignment with strategic goals through efficient planning and execution

Key Requirements:

  • Bachelor’s degree in Business Administration or related field, or equivalent experience
  • 3 to 5 years' experience working in a large organization
  • Experience with Enterprise Resource Planning (ERP) tools, preferably SAP
  • Experience with Scheduling and Planning tools, preferably Primavera and MS Projects
  • Experience with organizational finance and accounting principles
  • Advanced communication skills (English), adaptability, and the ability to thrive in a dynamic technological environment
  • Experience with Microsoft suite (Excel, Words, Outlook, PowerPoint, SharePoint)
  • Experience with using ChatGPT in a working environment and preferably experience with Python programming
