We are seeking an Engagement Manager to effectively manage key client data and the related drawing portfolio. The Engagement Manager provides critical space and occupancy reporting to support strategic planning functions and sharing of critical data with other relevant technology solutions as appropriate.
Role Purpose
The focus of the Engagement Manager role will be the management of the client’s CAFM/IWMS system, space and occupancy data, and the analysis and development of space and occupancy reporting and dashboards. The role will collaborate and communicate with other members of the Global Space Data Management Team, Occupancy Planning, Project management and Facilities management teams, Corporate Real Estate and Client Partners to provide space data and occupancy metrics that contribute to delivering global occupancy and real estate decisions and strategies.
The Engagement Manager will be responsible for delivering accurate data, drawings and reporting within an assigned client portfolio(s) using a CAFM/IWMS database system and other tools. They will process updates of space and people data, perform data and drawing audits, and participate in data governance programs. The Engagement Manager will validate space and occupancy data and report out on occupancy metrics including supply/demand, vacancy, density, utilization, and cost metrics. The Candidate will act as a single point of contact for all database and drawing questions concerning their assigned portfolio. This position will require collaboration with team members not under direct management or supervision including occupancy planners, project managers, facilities manager, and the Global CAD services team.
What this job involves
To be successful in this role, you should be able to translate space data and reporting accurately into the overall planning goals for our client by fostering critical relationships between various individuals and different organizations:
- Act as primary liaison with Occupancy Planners, Real Estate & Facilities, Design & Construction (Client, JLL, or other vendor staff) to request, collect, and process data and drawing updates
- Develop and maintain relationships and manage workflows to facilitate data accuracy
- Manage recurring processes to collect, validate, maintain and manage client data and drawings
- Ensure compliance with client’s data governance program to define, categorize and measure client space and occupancy data
- Maintain accurate data in the CAFM/IWMS database application:
- Validate data to determine readiness for reporting and benchmarking
- Review data errors within portfolio and report on remediation
- Remediate data integrity issues (multiple names in a seat, name with multiple assigned seats, etc.) in regular QA cycle
- Coordinate remediation of drawing integrity issues (incorrect polylines, architectural and furniture changes) with the Global CAD team
- Manage space allocations and/or mobility zones
- Deliver Occupancy Metric reporting (vacancy, density, utilization, cost, etc.)
- Add or remove buildings, floors, space and/or employee and organization data to reflect portfolio changes
- Perform required data and drawing audits according to account procedures, including managing the schedule, results tracking and reporting
- Process timely data corrections according to the client SLAs; coordinate required drawing changes with Global CAD team
- Provide reporting including:
- Prepare, generate and publish standard reports on a weekly, monthly, and quarterly basis, including building, room and employee detail reports at the building, state, country, and/or regional level
- Prepare quarterly trend repost on vacancy, utilization, density, and/or other space metrics as requested by the client
- Complete ad-hoc requests for queries from CAFM database on space and occupancy data as requested by client
- Utilization of CAFM/IWMS database system includes:
- Report issues related to CAFM application to the CAFM/IWMS Administrator or submit trouble tickets to the technology help desk as appropriate
- Report status, issues and concerns related to the overall use, functionality and performance of CAFM/IWMS to the Occupancy Planning lead and/or Account Lead
- Perform testing of application hot fixes, and new enhancements and modifications as requested
- Train client end users on use of CAFM/IWMS for move requests and reporting
- Apply working knowledge of office space categorization principles (BOMA, OSCRE, etc.) including circulation, egress, common, core and amenity; and literacy in reading and interpreting floor plans, to the client’s portfolio data

A Bachelor’s Degree in Architecture, Space Planning Data Management, Data Analytics or Occupancy Planning. You will be successful if you have proficiency in Microsoft Office Suite; advanced skills in Excel and PowerPoint are required. 5 years’ work experience managing data preferably in occupancy or space planning for corporate clients; including end to end data management life cycle from collection, standardization, loading monitoring/remediation and reporting.
You’ll need experience in creating reports that support data driven decisions. The ability to read and interpret floor plans and construction documents as well as proficiency in maintaining data in database driven systems, preferably in CAFM/IWMS database applications preferred (FM:Systems, TRIRIGA, Manhattan Centerstone, Archibus, Serraview, etc.)
Key skills include excellent written and verbal communication skills and the ability to work across cultures and languages when managing an international portfolio. Be self-motivated, able to work independently and within a team to build relationships and interact effectively with business partners. You’ll need to be comfortable with frequent or rapid change, flexibility to adapt to shifting priorities and the ability to effectively manage time, organize and prioritize deliverables and workload. Demonstrate consistency in values, principles and work ethic. Have an understanding and commitment to client service. Show a desire to work within a diverse, collaborative, and driven professional environment.
