The opportunity
The AI Operations Specialist supports the planning and coordination of AI and ITS-related programs, including events and projects. The AI Operations Specialist reports to the Vice President of AI. You will manage logistical details, assist with communication and content creation, and provide administrative support across multiple faculty and staff teams. You will track project timelines, assisting with event promotion, and ensuring operational effectiveness throughout. You will have organizational and project experience with a collaborative mindset and a willingness to stay updated on industry trends and professional development opportunities. You will be Hybrid working on-site occasionally at our Manchester, NH, Campus location. #LI-Hybrid
What You'll Do:
- Plan and coordinate AI and ITS-focused events, including workshops and the AI Summit, ensuring all logistics and schedules run smoothly.
- Help with event promotion through email campaigns, social media, and internal communications.
- Partner with speakers, vendors, and participants to ensure seamless event execution.
- Prepare agendas, event materials, and reports for post-event analysis.
- Provide comprehensive meeting support, including scheduling, agenda creation, and note-taking.
- Coordinate follow-ups, track action items, and ensure completion of deliverables.
- Manage digital files and documentation related to projects and events.
- Help manage AI and ITS-related projects and proofs of concept, including tracking timelines and milestones.
- Collaborate with teams to collect and present project data.
- Provide administrative and logistical support for ongoing projects, ensuring understanding of project goals.
- Create and edit engaging content for event promotions, internal updates, and project presentations.
- Design visuals and materials using tools such as Canva and Adobe Creative Cloud.
- Draft, review, and refine prompts and materials related to consumer-level large language models (LLMs).
- Participate in conferences and workshops to stay updated on the latest trends and developments in AI and ITS.
- Contribute to professional development programs to enhance skills in project management, communication, and AI applications.

What We're Looking For:
- 2+ Years of experience within AI professional work environments.
- Bachelor's degree in Business Administration, Communications, Project Management, or a related field.
- Experience with AI tools and their practical applications.
- Experience with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook).
- Experience with consumer-level large language models (LLMs) and prompt writing.
- Experience with event planning and project coordination.
- Experience mindset and ability to work with diverse teams.

Compensation
The annual pay range for this position is $56,752.00 - $90,821.00. Actual offer will be based on skills, qualifications, experience and internal equity, in addition to relevant business considerations. We expect this position to be hired in the following target hiring range $62,712.00 - $84,846.00.Exceptional benefits (because you’re exceptional)
