POSITION OVERVIEW:

The HR Help Center Master Data Management Specialist will act as an HR guide for Alcon associates. This role will have the opportunity to assist associates with all HR employee life cycle events including clarification of Alcon policies and procedures, HR administration, payroll inquiries, system navigational support and more. Accountable for executing high quality and accurate service to associates in adherence with the Day-to-Day calls & transactional activities, HR Help Center levels (SLAs) as well as key process, and operational metrics (KPI).

KEY RESPONSIBILITIES:

  • Provide Alcon associates and managers, across countries & languages, with an available first point of contact for questions and guidance on fundamental HR topics and issues; escalates concerns to more appropriate resource while maintaining follow up until closure of the request

  • Accountable for managing day-to-day inbound calls, messages, emails, tickets with Alcon associates and managers managing a variety of HR processes and policies

  • Processing entire HR lifecycle changes regarding but not limited to employment verifications, personnel efile administration, new hire processes, employee data changes, compensation related changes, onboarding, termination, work shift and Timecard clarification, Time off and absences, organization changes, recurring and ad hoc reporting, supporting the process of training associates and managers on HR systems, policies, and processes

  • Proactively takes ownership of requests received through the case management tool, online chat, phone, and other HR System inputs; being responsible for case opening and closing (end to end) with professionalism and respect

  • Acts as a liaison with Alcon associates, managers, HR team members and outside agencies in a professional and compliant manner at all times

  • Works closely with the Global support team, various HR COEs and respective in country HR teams to provide accurate and timely resolutions to associate's HR queries proactively contributes to & drives process improvements within the team

  • Ensures compliance in line with Data Privacy and Protection guidelines and other relevant legislation

  • Responsible for creating and maintaining Work Instructions and SOP for different HR processes

  • Discussion and collaboration with stakeholders eg: COE, HRBP, HR Ops team 

  • Maintain Service Levels (SLAs), key process, and operational metrics (KPIs)

  • Supports other duties as requested by the HR Leads/Managers

WHAT YOU'LL BRING TO ALCON:

  • Having a good understanding of HR operations, preferably in an HR Shared Services function

  • Experience in using Shared Service Center technologies e.g., ticket management (ServiceNow), knowledge management, telephony / chat, email, document management, etc

  • Strong administrative ability, managing a complex and varied workload

  • Ability to work effectively in an environment subject to changing priorities and short deadlines

  • Self-starter with a proactive and inquisitive nature who can anticipate and pre-empt problems

  • Strong problem solving, resolution, and decision-making skills, planning, organization, multi-tasking, and prioritizing skills

  • Experience in using HR Workday and ServiceNow Case Management preferred

  • Process-orientation and continuous improvement mindset

  • Excellent Communication and Customer Service orientation

  • Rotational work schedule might be required depending on the critical deliverables and the countries supported

  • Intermediate level skills in Microsoft Office Suite

  • Requirement: proficient in Korean language (read, write, speak)
