INTRODUCTION:

The purpose of this position is to provide patient registration and eligibility services, file maintenance, departmental reception, and clerical support to the Behavioral Health Department.



DUTIES:

  • Coordinate program staff’s work schedules, and serves as the key greeter for anyone entering the Program. 
  • Interview patients to obtain pertinent patient registration information, i.e., demographics, identify and gather pertinent data related for data entry and be able to identify clients in crisis and refer them appropriately. 
  • Verify medical records contain accurate information and coordination services to ensure accuracy of data system. 
  • Monitor case records format and/or organization of medical charts. Verify that all intake information is in the chart. Identify any discrepancies and report any inconsistencies to the Program Administrator. 
  • Verify medical records contain accurate dates of services; and that proper documentation by primary care providers complies with federal, state, insurance provider, contractual, and billing requirements.
  • Obtain information needed to determine eligibility of patients seeking services by requesting documentary of Indian ancestry and/or tribal membership, according to IHS guidelines. 
  • Assists MH and A & D patients in completing new or updated forms for the Patient Registration System.
  • Monitor, collect, and process urinalysis samples.
  • Provides clerical support to Behavioral Health (BH) personnel, including typing, filing, and answering incoming telephone calls. Schedule appointments, and log in patients as they come into the BH Program. 
  • Responsible for receiving, sorting, routing, and mailing all mail for the BH Program. 
  • Verify and obtain copies of client health insurance information. 
  • Occasionally transport clients.
  • Distribute program applications, receive all program applications, ensure completeness, verify information, make eligibility determinations and notify applicants of eligibility or ineligibility.
  • Responsible for collecting data for Quarterly Reports and submission to appropriate staff.
  • Processes check requests, purchase orders and supply orders.
  • Report GSA mileage to fleet department.
  • Participate in the Safety Committee.
  • Track treatment court clients by ensuring accurate information is uploaded in the Lincoln County Court system.
  • Establish strong relationships with the community, so that the Behavioral Health Program is seen as a resource for all community members.
  • Continuously improve the business processes used in the department and the electronic data so that it meets the needs of the department to ensure accurate health care service reporting and billing.
  • Other duties, as assigned.


Requirements

REQUIREMENTS: 

High School diploma or GED and two years of progressively responsible experience in medical, administrative or technical capacity, preferably in a medical office or similar program. 


Knowledge of:

  • Computer applications including MS Office Suite, (i.e. Word, Outlook, Excel, PowerPoint, and Publisher), preferred.
  • Correct punctuation, capitalization, grammar, filing, and writing format.
  • Various social program services and handle referrals correctly.
  • Billing procedures, records management, and able to use an electronic medical records system.


Ability to:

  • Type 45 words per minute.
  • Work with a wide variety of people.  
  • Communicate effectively and relate to Tribal and community members, staff, federal, state, local health agencies, and insurance companies.
  • Work independently under minimal supervision and be pro-active to resolve problems while maintaining a positive team atmosphere. 
  • Be a well-organized self-starter and able to handle a large volume of work, and able to adapt to change in assignments and work priorities.
  • Handle possible stressful situations. Able to analyze problems to identify significant factors, gather pertinent data, and recognize solutions.


Other:

  • Abstinence during employment in this capacity is essential to the overall effectiveness of the program. Due to the nature of this position, individuals in recovery from the disease of alcoholism and/or other drug dependence must affirm that previous employment performance had not been impaired by alcoholism/substance abuse over the past 2 years. 
  • Must possess a valid Oregon State driver's license, insurance and be eligible to drive a GSA vehicle.
