The Data Reporting Analyst II will provide essential administrative support to the Airport Workforce Development Program Management Officer Sr. at Hartsfield-Jackson Atlanta International Airport. This role involves managing day-to-day administrative tasks, coordinating communication, and ensuring the smooth operation of the Director's office. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple priorities in a fast-paced environment.

Key Responsibilities:   1. Administrative Support:     o Assist the Airport Workforce Development Director with daily administrative tasks, including managing schedules, coordinating meetings, and preparing reports.     o Handle phone calls, emails, and correspondence, ensuring timely and appropriate responses. 2. Office Management:     o Maintain an organized and efficient office environment, including managing supplies, filing systems, and office equipment.     o Coordinate travel arrangements, itineraries, and accommodations for the Program Management Officer Sr. and other team members as needed. 3. Meeting Coordination:     o Schedule and organize meetings, including preparing agendas, coordinating logistics, and taking meeting minutes.     o Follow up on action items from meetings to ensure tasks are completed on time. 4. Document Preparation and Management:     o Prepare, format, and edit documents, presentations, and reports for the Program Management Officer Sr., ensuring accuracy and professionalism.     o Maintain confidential files and records, ensuring they are up-to-date and easily accessible. 5. Communication Liaison:     o Act as the primary point of contact between the Program Management Officer Sr. and internal/external stakeholders, including other departments, businesses, and community partners.     o Coordinate communication across the Program Management Officer Sr.’s team, including the Community Outreach Managers, Project Manager III, and Data Analyst Sr. 6. Event and Project Support:     o Assist in the planning and execution of special events, workshops, and projects related to workforce development initiatives.     o Coordinate logistics for events, including venue booking, catering, and participant communication. 7. Data Entry and Reporting:     o Assist with data entry, analysis, and preparation of reports related to workforce development programs and initiatives.     o Support the Program Manager III with maintaining accurate records and data management. 8. Financial Administration:     o Assist in managing budgets, processing invoices, and tracking expenses for the Workforce Development Program Management Officer Sr.’s office.     o Work with the finance team to ensure compliance with financial policies and procedures. 9. Compliance and Governance:     o Ensure all documentation and procedures comply with regulatory and organizational standards.     o Assist with maintaining data accuracy and integrity across all ATL workforce programs.   Additional Responsibilities: • Perform a wide variety of executive secretarial and administrative duties as required by daily operations within the assigned department. • Coordinate office activities and schedules; develop and recommend office policies, procedures, and systems; ensure smooth office operations. • Assist in preparing speeches and news releases. • Research and analyze routine administrative projects for the Program Management Officer Sr. • Receive and screen all communications to the Program Management Officer Sr., including telephone calls and email messages; provide assistance using independent judgment to determine messages that require priority attention; prioritize and facilitate communication. • Prepare and review written communications and reports, draft correspondence, schedules, memos, spreadsheets, and other documents from notes, dictation, and other sources. • Independently respond to letters and general correspondence of a routine nature. • Proofread and edit documents for accuracy and format; distribute documents as instructed. • Serve as a liaison for the assigned department and other City Departments, divisions, and outside agencies; negotiate and resolve significant issues. • Serve as a departmental representative on special projects, committees, and task forces as assigned. • Make travel arrangements for assigned Business Unit employees; maintain appointment schedules and calendars; arrange meetings and conferences. • Provide follow-up to assignments given to members of the management team by the Program Management Officer Sr. and provide status reports. • Participate and assist in the development and administration of the assigned department budget; perform related duties and fulfill responsibilities as required. • Decision making; selects from multiple procedures and methods to accomplish tasks and applies organizational policies. • Provide guidance and training as required to lower-level interns, temporary employees, etc. • Initial contact for potential candidates; schedule interviews and provide pertinent information. • Primary point of contact and resource guide for constituents; provide central intake information and outside resources.

Minimum Qualifications Education and Experience: 

  • Bachelors degree in business/public administration, accounting, finance, information technology, statistics, human resources, or a related field (equivalent professional experience may be considered for substitution for the required degree on an exception basis). 
  • Four (4) years of work experience in creation, reporting, and/or management of data or closely related tasks (not including data entry). 
  • Required Skills: SQL, Microsoft Access, Microsoft Excel 
Preferred Education & Experience  Bachelors degree as described above, plus 5 years data analysis experience.  Experience with R, Python, Visual Basic is preferred.   Licensures and Certifications  No specific certifications or licensures required.  Individual positions may require completion of training in specific reporting languages or software.
