As part of our OHSU 2025 Strategic Plan, Objective 2.1 Learner Placement was identified as a prioritized objective to help address our institution's growing concerns around meeting current graduation requirements due to the decrease in the number of Learner Placements experiences from internal and outside competition and exceeded the perceived capacity of our own health system to host our students. The Office of Learner Placement and Housing was created to address these concerns by developing a centralized, coordinated, and equitable system for accessing and managing clinical placements for our learners.
The Business Data Analyst 2 will work in collaboration with the Director of Learner Placement & Housing, Faculty Lead and OLPH project team to execute the activities outlined in OHSU 2025 Objective 2.1: Implement an integrated system to manage learner placements in all required settings. The Business Data Analyst 2 will gather, compile, analyze and provide qualitative and quantitative information and statistical data, and presents this information in narrative or schematic form for use in business planning and administrative decision making.
In collaboration with the OHSU Hospital departments, OHSU clinics, and the OHSU academic programs; the Business Data Analyst 2 will gather data and create a workplan for integrating a centralized clinical placement software system within the organization. This role is responsible for overseeing all phases of the project, ensuring seamless execution, and managing the integration process from initial planning to final deployment. The Business Data Analyst 2 will work closely with internal stakeholders, external vendors, and cross-functional teams to ensure the integration aligns with organizational goals and enhances operational efficiency in clinical placements.
This position also provides project management for the centralized learner placement system, becoming the system expert as it relates to implementing, coordinating, reporting and troubleshooting. This role will also focus on the development, evaluation, and continuous process improvement of learner placement operations across all programs, including non-OHSU student onboarding, preceptor engagement and administrative workflows across multiple campuses.
The clinical experience placement process is complex in nature, this role involves coordinating input from multiple stakeholders, collaborating, tracking, and reporting placements, and addressing concerns with clinical coordinators, faculty and program leads. As well as, establishing and maintaining relationships with internal departments and preceptors.
The Business Data Analyst 2 must have strong project management skills and a demonstrated ability to collaborate effectively with senior leaders, as well as both internal and external stakeholders. The role requires a deep understanding of the importance of diversity for an academic health center, the value of an interprofessional approach, and the ability to contribute to the institution’s strategic goals related to diversity, equity, and inclusion. Function/Duties of Position
Operations Management and Oversight of Centralized Learner Placement SystemBusiness Analysis, Development, and Project Management:
- Business Consulting: Assists in the development of workflows for the full life cycle of the clinical placement software integration project, including planning, execution, monitoring, and closure.
- Develop and execute project plans: Create detailed project schedules, set milestones, and manage the timeline to ensure timely delivery of the integration.
- Risk Management: Identify, assess, and mitigate risks that could impact the project timeline or outcomes.
Stakeholder & Vendor Collaboration:
- Coordinate with internal stakeholders: Engage with clinical, IT, and operational teams to understand their needs and ensure the software meets the functional requirements for placement management.
- Vendor management: Serve as the main point of contact for software vendors, ensuring all contractual obligations are met and integration timelines are adhered to.
- User Training and Support: Coordinate the development and delivery of training for end users of the new software.
Integration and Change Management:
- System Integration: Oversee the technical integration of the software into existing systems and workflows. Collaborate with IT teams to ensure seamless data transfer and software compatibility.
- Change Management: Develop and implement a change management strategy to prepare staff for system changes. Ensure clear communication around new workflows, responsibilities, and timelines.
- Process Optimization: Identify opportunities for process improvements in clinical placements and recommend system adjustments based on feedback and evolving needs.
Reporting & Communication:
- Regular updates to leadership: Provide frequent progress reports to senior management, ensuring visibility of program status, milestones, and any issues or risks.
- Documentation: Maintain comprehensive project documentation, including plans, reports, meeting minutes, and technical specifications.
Post-Implementation:
- Monitor performance post-integration: After the software is integrated, oversee the initial rollout, track performance, and address any issues that arise during the adoption phase.
- Continuous Improvement: Collect feedback from users, identify areas for further improvement, and suggest enhancements to improve user experience and placement efficiency.
Report Development and Evaluations
- Prepare reports by collecting, analyzing, and summarizing data and trends for clinical rotations.
- Evaluate current practices with an eye toward continuous improvement and adaptation to evolving programs. This includes researching problems, collecting data, providing options for solutions, and implementation.
Strategic Planning and Development
- Assist in the activities associated with OHSU 2025 Objective 2.1: Implement an integrated system to manage learner placements in all required settings. This will include strategic planning; new program development; and building strong institutional relationships, including fostering collaboration among academic programs and health care organizations that host OHSU learners.
- Represent the Office of Learner Placement & Housing at applicable meetings and on committees as necessary to ensure optimal use of the systems and functions facilitated by the office.

Required Qualifications
- Bachelors degree in a business field and one year of experience that included analytical, database, spreadsheet and/or financial experience, technical writing, quantitative analysis or use of statistical principles; OR
- Associates degree in a business field plus three years of experience that included analytical, database, spreadsheet and/or financial experience, technical writing, quantitative analysis or use of statistical principles; OR
- Five years of experience that included analytical, database, spreadsheet and/or financial experience, technical writing, quantitative analysis or use of statistical principles; OR
- An equivalent combination of education, training and/or experience.
Project management experience, preferably in the healthcare or technology sector.
Proven track record in managing complex software integrations, particularly in healthcare or clinical placement systems.
Experience with vendor management and coordinating with cross-functional teams.
strong understanding of clinical placement workflows, healthcare environments, and related software systems is a plus.
Excellent organizational skills, ability to work independently, be flexible, customer service-focused and have experience with various forms of technology. Experience working as a project manager with a high degree of collaboration.
Excellent attention to detail; successful demonstration of experience working in detail-oriented capacity with proven record of accuracy.
Must be able to work diplomatically in a team environment. Ability to prioritize, set attainable goals; be self-directed, identify support needs and apply independent judgement; work efficiently under pressure of multiple deadlines (able to track multiple tasks and projects through various stages of development and implementation).

Must have advanced skills/knowledge in the use of technology (MS Office - especially Outlook and Excel, Adobe Acrobat Pro, Teleconference applications, document management applications and file management architecture in a HIPAA-compliant environment, database entry and reporting functions, and printer/scanner/copier equipment).
Customer Service-Oriented - excellent interpersonal skills, initiative and the ability to work with diverse groups; students, faculty, staff, IT group.

Preferred Qualifications
PMP, Scrum Master, or other project management certifications preferred.
Understanding of Academic Program scheduling, course registration, rotation scheduling and/or other.
Experience/knowledge in:
Working in academic institution or health care setting.
- Clinical management databases.
FERPA and related federal regulations
- Results-driven with a focus on delivering high-quality outcomes.
- Strong organizational skills with a keen attention to detail.
- Proactive, self-motivated, and able to work independently or within a team.
- Adaptable to changing project requirements and priorities.
- Understanding of current information systems and policies and processes used in the academic mission at OHSU.
- Advanced presentation skills; demonstrated ability to present to a large audience
Additional Details
This position is remote with the requirement to work on campus as needed. This position may require work travel and/or work outside of standard business hours, including evenings and weekends as needed.
