McMillan has an exciting opportunity as a Manager, Information & Data Governance in our Toronto office to lead the firm’s information and data governance initiatives and programs. As a people leader and strategic thinker, you will oversee the management of the lifecycle of information (physical and electronic) across the firm and collaborate with internal teams to develop and implement information and data governance strategies. You will work closely with the Director, Innovation & Knowledge Management to set strategic priorities to facilitate effective and efficient information and data governance across the firm in accordance with the Firm’s policies and legal, regulatory and business requirements.

What You’ll Do
In this role, you will enable, design and implement comprehensive information and data governance policies, procedures, and best practices, ensuring they align with the Firm's goals and objectives. You will spearhead projects and activities and support the team with execution and day-to-day activities including destruction review and inventory maintenance. Additionally, you will analyze performance metrics, identify opportunities for improvement, and provide actionable insights to drive effective and efficient management of the program. Staying up to date with industry trends and best practices, you will play a key role in advising on the way digital data is managed, stored and utilized.
In this role, you will take ownership of the current Information Governance (IG) policies, procedures, best practices, and supporting documentation. You will assist in the development and implementation of data governance and lifecycle management for electronic materials and tools, including MS365, to enable program execution and compliance.
You will drive strategic planning, roadmap development, and reporting for the IG department. This includes leading budget planning and forecasting for the team, developing the annual operational plan, and cascading goals. As the subject matter expert on information and data governance, you will provide advice on related activities and queries.
Your responsibilities will include analyzing performance metrics to ensure compliance, identifying opportunities for improvement, and providing actionable insights to drive efficiency and innovation. You will collaborate with various internal teams to establish and maintain data governance and management processes and procedures, including coordinating with IT to ensure secure and efficient data storage systems.
Developing and maintaining strong relationships with external vendors and contacts for services and applications will be crucial. You will ensure that Service Level Agreements (SLAs) are implemented and adhered to, and manage costs effectively. Additionally, you will establish a records inventory framework, oversee its maintenance and reviews, and enable reporting on compliance with requirements.
You will work closely with legal and administrative teams and stakeholders to enable a firm-wide IG program. This includes raising awareness of information and data governance requirements and principles through training, communication, and change management activities to support program implementation and execution.
You will take ownership of the firm’s IG system, FileTrail, which includes system configuration, designing reports, and leading system maintenance, migration, and upgrades. Liaising with external networks and professional industry associations, you will assess and advise on industry best practices and benchmarking, incorporating them into program design and execution.
Championing a high-performance environment, you will create an atmosphere where the team pursues effective and efficient operations in accordance with firm values. You will establish governance frameworks for digital repositories to manage digital records, reduce duplication, and ensure the correct information is retained.
You will assist the Director with other information management responsibilities as required to fulfill the team’s mandate and strategic objectives. Additionally, you will support standard day-to-day activities as needed.
What You Bring
You bring a strong background in paper and digital information and data management, with a proven ability to lead and manage information governance and data management projects and activities. Your expertise in information governance and digital records management allows you to make immediate contributions to effectively managing physical and digital client matter information. With excellent communication, problem-solving, and teamwork skills, you thrive in collaborative environments and are adept at managing an active portfolio with many moving parts.
In this role, you will hold a degree in Information Management, Information Studies, Library Science, or a related field, or possess commensurate experience. You will have a minimum of three years of experience leading teams in the information governance and data management space at a legal or other professional services firm.
You will bring advanced knowledge of records and information management industry standards, best practices, methodologies, and frameworks. Additionally, having a minimum of three years of experience developing, implementing, and managing large-scale, cross-functional organizational change initiatives will be an asset.
Experience with governance in the MS365 environment is desirable, along with experience in designing and implementing processes for ingesting data from various sources into data lakes and data warehouses, and designing data quality standards.
You will exhibit strong influencing skills to gain early buy-in to new ways of doing things and demonstrate enthusiasm for ideas and future plans. Your experience and knowledge of change management, communications, and learning principles, methodologies, and tools will be crucial.
You will have a demonstrated ability to advise stakeholders on information and data management principles and concepts to drive decision-making, program implementation, and compliance. Being self-sufficient and working well under pressure to manage and meet multiple deadlines with a flexible attitude and professional approach is essential.
You will hold yourself and others accountable for results-driven performance, taking ownership and championing the quality delivery of program components. Additionally, you will have the ability to oversee and direct longer-term initiatives to completion, proactively identify problem areas, devise solutions, and communicate them to stakeholders.
